How does the assistant get into your operation?

What is an AI phone assistant for logistics companies?

A voice that answers the phone for a freight forwarder or logistics operation when dispatch is busy. It understands requests in normal sentences, records shipment numbers and references, tells status inquiries apart from quotes and complaints, and passes everything on in a structured form. Unlike a hold queue, it takes every request in full, and afterwards it writes down what the call was about.

Can the assistant give shipment status directly?

Only if your system is connected, and we don't claim that across the board. Without a connection it takes the shipment number and the callback request and tells the caller your team will get back with the status. That alone catches most status calls. Whether a connection to your TMS or tracking makes sense and can be done, we clarify in the first call.

Does this really take load off dispatch, or does it just move the work?

It takes load off, because sorting is half the work. Today every call interrupts a dispatcher, whatever it is about. With the assistant, status inquiries, delivery bookings and quote requests arrive as structured cases, with all the details that otherwise take another call to get. Dispatch decides instead of taking notes. What really needs dispatch still gets through.

What does the assistant do with calls from drivers?

Whatever you decide. A common setup is a switch: drivers and regular partners still reach a person or their own direct line, and the assistant takes customer and consignee calls. It can also give drivers standard information, such as addresses, time slots and contacts, if you put that in. You set the switch, not us.

Does it take delivery bookings and time slot requests?

Yes. Consignees or shippers give the shipment, preferred date and special needs (tail lift, loading dock, advance notice), and the assistant records it all in the case. It only gives firm commitments if you have allowed it to. Otherwise it tells the caller your team will confirm. The difference from today: none of it is on a note.

Does the assistant speak several languages?

German and Spanish, switching during the call, no button to press. For operations with traffic between the DACH region and Spain, that is the normal case. Other languages are not a default setting. Whether your routes need them, we clarify in the first call, honestly and without empty promises.

What happens with a complaint or an angry caller?

The assistant hands over instead of trying to smooth things over. It takes complaints down factually (shipment, damage, claim) and recognises when a conversation is getting tricky. Then it puts a person on the line or arranges a callback with a clear deadline, each time with the full history. Made up commitments are the only thing that would cost more than the missed call.

Does this also work as overflow, when dispatch is only busy at times?

Yes. Overflow is often the most sensible way to start: the assistant only answers when nobody picks up after several rings or all lines are busy. Your number stays, and at quiet times a person still answers. You decide per time of day what applies: always, overflow or only after hours.

What happens to the data of my callers and shipments?

Shipment and caller data stays on EU servers and remains yours. The framework is a data processing agreement under Art. 28 GDPR, and no outside model is trained on your calls. What gets transcribed and how long it is kept is set in writing before the start, provable for you and your clients.

Which operation is this not worth it for?

One whose phone rarely rings, or whose calls come almost only from drivers and regular partners who should go straight to dispatch anyway. There an assistant would be money thrown away, and we will tell you so beforehand. It pays off where the same status questions cut the day into pieces and new customer inquiries end in a busy tone.
