AI assistant for insurance brokers: handle claim reports and client emails in your inbox

How an AI assistant for insurance brokers records claim reports, answers routine client questions and leaves cover decisions and advice with you, the broker.

Key takeaways

  • An AI assistant confirms receipt of a claim report, asks the client for missing details and photos and puts the complete file together for you.
  • It answers routine questions about documents, contacts and processes from your brokerage knowledge and in your voice, as drafts at first.
  • It never makes statements on cover, premiums or claim settlements, because advising the client is the broker's legal duty in both Germany and Spain.
  • Claim reports from accident, health or life lines can contain health data, which Article 9 GDPR treats as a special category.
  • It works through your mailbox and calendar alongside your broker management system and is part of daily work after about 14 days.

An AI assistant for insurance brokers reads every new email, confirms claim reports, asks for missing details and photos and answers routine questions in your voice. It never says whether a claim is covered. That assessment stays with you, like every piece of advice. This is how the Verselo AI assistant works, on a dedicated server for your brokerage only.

Why do claim reports and routine questions pile up while you are with clients?

Tuesday morning. You are sitting with the Walker family going through their home contents policy, and four emails arrive in the same hour. One client reports a parking dent and attaches a blurry photo. Another asks whether her new policy documents have arrived. A joinery business wants to know who handles its contract. And someone asks when the cancellation deadline for their motor policy is.

None of these is hard. But the client with the dent waits until you reply in the evening, and until then has no idea whether the report arrived. If the other driver's registration or a photo of the damage is missing, you write again the next day.

Claims handling is core broker work in both of Verselo's markets. In Germany, § 34d(1) of the Trade Regulation Act (GewO) defines brokering as including help with administering and performing insurance contracts, especially when a claim occurs. In Spain, Article 129.1 of Royal Decree-law 3/2020 includes assistance with claims in insurance distribution, and Article 155.3 requires brokers to assist and advise the policyholder, insured person and beneficiary when a claim happens. For many clients, this is the moment they see what a broker is for. A first reply that takes a day hurts exactly there.

Manual inbox or a dedicated AI assistant: what changes in a brokerage?

Templates save typing. Reading, sorting and chasing missing details is still your job. An AI assistant in your inbox takes over that step and leaves the approval with you.

The morning briefing then reads, for example: new motor claim report, receipt confirmed, photos requested. A client is waiting for your answer on cover. 11:00 home contents review with the Walker family.

What can an AI assistant handle in a brokerage, and what remains your responsibility?

The law draws the line. Under § 61(1) of the German Insurance Contract Act (VVG), where the complexity of the insurance or the client's situation calls for it, the broker must ask about the client's wishes and needs, advise them, give reasons for the recommendation and document it. In Spain, Article 172.1 of Royal Decree-law 3/2020 requires distributors to act honestly, fairly and professionally in the client's best interest. An assistant that reads three sentences and derives a statement on cover never asked those questions.

So the split is clear:

What the assistant prepares or answers itself:

  • Receipt confirmation for claim reports
  • Requests for missing details: date, place, what happened, photos, registration, policy number
  • Questions about documents, contacts and processes in your brokerage
  • Reminders about quotes a client has not answered
  • The 07:30 briefing with new claims, open questions and appointments

What always stays with you:

  • Any statement on cover, premiums or claim settlement
  • Any recommendation of a product or insurer
  • Anything you mark as sensitive during setup

An example. A client writes at 10:12: "Someone hit my car while parking. Photo attached. Is this covered?" The assistant recognises a motor claim report. It thanks the client, confirms receipt and asks for the other vehicle's registration, a photo of the whole car and the time and place. It does not answer the cover question. It says you will get back on that. During the first two weeks the whole reply sits as a draft in your inbox. If a client explicitly asks about cover, the reply stays a draft later too.

How are client data and health details in claim reports protected?

For brokers this question carries weight, because a claim report holds more than a registration number. Three points belong together (as of November 2026):

Health data. An accident report, a disability claim or a question about health insurance can contain health details. Under Article 9(1) GDPR this is a special category, and processing it is prohibited unless one of the exceptions in Article 9(2) applies. For the assistant this means: during setup we agree with you which types of email it handles. Reports from accident, health or life lines can stay entirely with you. Which legal basis applies to your brokerage is something you confirm with your data protection officer.

The data processing agreement. Article 28(1) GDPR only allows processors that provide sufficient guarantees for appropriate technical and organisational measures. For running the assistant you sign the agreement with Verselo. For your own business account with the AI provider that drafts the replies, its data processing terms apply as well.

Where the data lives. The assistant runs on a dedicated server in the EU, for your brokerage only. Your emails stay in your mailbox. To draft a reply it sends the text it needs to your AI provider, and it only remembers facts you have confirmed. On the call we show you in detail which data goes where. More on our security page.

How does the 14-day rollout work alongside your broker management system?

The start has four steps:

  1. A 30-minute call. You tell us what happens in your inbox and how your brokerage works today. We tell you honestly whether the assistant is worth it.
  2. Setup. We set up your server, connect mailbox and calendar and configure your lines of business, processes and responsibilities. The assistant learns your tone from your sent emails.
  3. Two weeks of drafts. It only writes drafts. You read along, correct and see how well it handles your clients.
  4. It replies on its own. Once you are happy, you switch on automatic replies one email type at a time. The receipt confirmation for a motor claim then goes out by itself, the question about cover stays a draft.

Your broker management system stays as it is. The assistant works with Gmail, Microsoft 365 or any standard mailbox and with your calendar. There is no direct integration with the management system today. You keep policies and claims there as usual.

When is it not worth it? If you clear your inbox in half an hour a day and your clients prefer to call, you do not need an assistant. It pays off when you spend a lot of time with clients and claim reports and questions wait for hours.

If you sent a quote and the client goes quiet, the second part helps: how the assistant follows up on open quotes is covered in follow up on quote emails with AI.

Conclusion

An AI assistant for insurance brokers records claim reports, asks for missing details and answers routine questions while you are with clients. Cover, advice and claim settlement stay with you, and for health data you decide what it never touches. Whether it suits your brokerage is something we work out on a 30-minute call.

Frequently asked questions

Does the AI assistant tell clients whether a claim is covered?

No. It confirms receipt, asks for missing details and photos and prepares the file for you. If the client asks whether the insurer will pay, the reply stays a draft and you make the assessment.

Does it work alongside my broker management system?

Yes. The assistant works through your mailbox and calendar, not inside your management system. There is no direct integration today. Whatever it needs to know about your lines of business, processes and responsibilities, we configure during setup.

What happens to claim reports that contain health data?

Health data is a special category under Article 9 GDPR. During setup we agree with you which types of email the assistant handles. Reports from accident, health or life lines can stay entirely with you. You confirm the legal basis with your data protection officer.

Does the assistant send emails without my approval?

Not at first. For two weeks it only writes drafts. After that you switch on automatic replies one email type at a time, for example the receipt confirmation for a motor claim. Anything about cover or premiums stays a draft.

Which brokerages does it not suit?

If you clear your inbox in half an hour a day and your clients prefer to call. It pays off when you spend a lot of time with clients and claim reports and questions sit waiting in your inbox.
