What is an AI assistant? Types, limits and which one your business needs

What is an AI assistant? Chat tools like ChatGPT, AI in your email app or a dedicated AI agent: differences, what happens to your data, what it may do alone.

Key takeaways

  • An AI assistant is software that understands language and produces answers, drafts or summaries; the EU AI Act calls it an AI system with varying levels of autonomy.
  • Chat assistants such as ChatGPT, Gemini and Copilot typically work when someone gives them a request.
  • A dedicated AI agent reads every new email on its own, drafts replies in your tone and reminds you about unanswered quotes.
  • The Spanish data protection authority AEPD recommends setting an agent's autonomy deliberately and putting a person in charge at the critical points.
  • The Verselo AI assistant is set up in 1 to 2 days and then works with drafts only for 1 to 2 weeks.

An AI assistant is software that understands language and turns it into answers, drafts or summaries. For a business there are three kinds: chat assistants such as ChatGPT, Gemini or Copilot, AI built into your email app, and a dedicated AI agent that works through your inbox on its own. Only the third takes work off your plate without anyone typing. That is how the Verselo AI assistant works, on its own server in the EU.

Why doesn't ChatGPT or Gemini clear your inbox even though you use it every day?

Because a chat assistant waits. It answers well, but only after you open the window, paste in the customer email and ask a question. That saves a few minutes of wording. It does not touch the real problem.

Take a small building contractor. The owner is on site until mid afternoon and the office is on the phone. By evening the inbox holds a new bathroom inquiry, two questions about quotes already sent and a customer who wants to move an appointment. ChatGPT knows none of this. Someone still has to read every email, find the history and decide what happens next. Usually that is the owner, at ten at night.

Inbox work is mostly reading, sorting and remembering. A chat assistant does none of it, because it never looks into your inbox by itself.

Chat assistant, AI inside your email app or a dedicated AI agent: what is the difference, and which one works without you typing?

The EU AI Act defines an AI system in Article 3(1) of Regulation (EU) 2024/1689 as a machine based system designed to operate with varying levels of autonomy that infers from its input how to generate content, recommendations or decisions. That level of autonomy is exactly what makes the difference in your inbox.

AI inside the email app is a real step up from copying text into a chat window. It is still a tool for the moment you are already looking at the email. Microsoft puts it this way: Copilot produces drafts and summaries for the user to review instead of fully automating the task.

A dedicated AI agent turns that around. It reads each new email, works out what the customer needs and has a reply in your tone ready in under 60 seconds. What that looks like with quotes is in AI assistant for business: email and quote follow up. If you are weighing Microsoft against OpenAI, see Copilot vs ChatGPT for business.

What does an AI assistant do with your company data?

That depends on the product and the contract, not on the label. Three examples, as of October 2026:

  • Microsoft 365 Copilot: according to Microsoft, prompts, responses and data accessed through Microsoft Graph are not used to train foundation models. For EU users the traffic stays within the EU Data Boundary, although Anthropic models used as a subprocessor are excluded for now.
  • Gemini in Google Workspace: according to Google, customer data is not used to train models without prior permission, and content is not reviewed by humans or used to train Gemini outside your domain.
  • Free chat accounts: these run on different terms from the business contracts. Customer data does not belong there.

The Verselo AI assistant runs on an isolated server in the EU used only by your company. Your emails stay in your mailbox (Gmail, Microsoft 365 or IMAP), your data is not used for training, and the assistant only remembers facts you have confirmed. The details are on the security page.

What can an AI assistant do on its own, and where must a person decide?

Once an assistant acts by itself, this question matters more than which model sits underneath. On 18 February 2026 the Spanish data protection authority AEPD published guidance on agentic AI, describing it as systems that do not just answer questions but act autonomously to achieve goals.

In the guidance document the AEPD recommends three things: set the degree of autonomy to fit the processing, control the agent's memory, and build in effective human oversight, with people at the critical points who can validate, refine or override the agent's decisions before they have a real effect. That intervention should be planned from the design stage.

In the Verselo AI assistant this looks as follows:

  1. It starts in draft mode. Every reply waits as a draft in your inbox. You read it, change it if needed and send it yourself.
  2. You switch to automatic one email type at a time. Once the acknowledgement for new inquiries is reliably right, for example, you turn on just that type in the cockpit.
  3. A boundary that stays in place. Prices, commitments and sensitive cases always stay drafts. You get a notification on your phone and approve with one tap.

A small estate agency can let the confirmation of portal inquiries run automatically, while every question about the asking price waits as a draft. See the AI assistant for real estate agents.

Then there is transparency. Article 50(1) of the AI Act requires providers to make sure people know they are interacting with an AI system, unless that is obvious. As soon as any email type goes out automatically, we recommend one line in the signature. How do you test an AI assistant in your business in a controlled way?

By letting it write drafts only at first while you read along. This is how it runs at Verselo:

  1. 30-minute call. We look at which emails cost you the most time and tell you honestly whether an assistant is worth it.
  2. Set up in 1 to 2 days. Server, mailbox, calendar and rules. The assistant learns your tone from your sent emails.
  3. 1 to 2 weeks of drafts. You see every reply before it goes out and approve with a tap.
  4. Routine on automatic, important things as drafts. What is reliably right you switch on. The rest stays with you.

Every morning at 07:30 you also get a short briefing on your phone: urgent customer emails, open quotes and the day's appointments. For trades businesses there are ready made workflows for inquiries and quotes, see the AI assistant for trades.

Conclusion

An AI assistant is software that understands language and prepares work for you. ChatGPT, Gemini or Copilot help when you type; a dedicated AI agent reads your inbox on its own, drafts replies in your tone and leaves the final word on prices and commitments to you. Whether that pays off for your inbox is something we can check in a free 30-minute call.

Frequently asked questions

What is an AI assistant in simple terms?

An AI assistant is a program that understands written or spoken language and turns it into answers, drafts, summaries or suggestions. Some wait for your question; others work on their own inside your inbox or calendar.

Is ChatGPT an AI assistant?

Yes, a chat assistant. In the chat window, ChatGPT, Gemini and Copilot answer what you type. There they do not read new customer emails by themselves, and they do not remind you about quotes nobody has replied to.

What is the difference between an AI assistant and an AI agent?

An assistant in the narrow sense responds when you ask. An agent pursues a goal and acts on its own to reach it, for example by reading every new email and preparing a reply. The AEPD describes agentic AI as systems that do not just answer questions but act autonomously to achieve goals.

Can an AI assistant send emails without my approval?

Only the email types you switch on. The Verselo AI assistant starts fully in draft mode. Prices and commitments always stay drafts and only go out once you approve them.

Is any AI trained on my company data?

Microsoft 365 Copilot and Gemini in Google Workspace say they do not do this without your permission (as of October 2026). The Verselo AI assistant does not use your data for training either, and it runs on a dedicated EU server just for your company.
