How to Automate Email with AI in Gmail and Outlook: Filters, Copilot or Your Own AI Agent

Filters, Gemini, Copilot or your own AI agent in draft mode: what actually clears a business inbox in Gmail and Microsoft 365, and what GDPR asks of you first.

Key takeaways

  • Gmail filters and Outlook rules label, archive and forward mail, but they never write a reply.
  • Gemini and Copilot inside your mail app help you write, but only when someone opens the email and asks.
  • Your own AI agent reads every new email and leaves the reply as a draft; you decide when it is sent.
  • Before you start you need a written data processing agreement under Article 28 GDPR.
  • With a handful of emails a day, filters and templates are enough; with many similar requests, an agent pays off.

If you want to automate email with AI in Gmail or Outlook, you have three levels to choose from. Filters and rules sort, the built-in AI (Gemini, Copilot) writes when you ask it to, and your own AI assistant reads every new email by itself and leaves the reply as a draft in your inbox. Only the third level takes the writing off your plate without you opening each message first. Nothing goes out until you approve it.

Why is your inbox still full when Gmail and Outlook already have filters, rules and templates?

Because filters move email, they do not answer it. According to Google, a Gmail filter can apply a label, archive, delete, star or automatically forward incoming messages. Outlook rules follow the same logic. That keeps newsletters and invoices out of sight. The customer request that needs a real answer is still there, just in a different folder.

Templates go a little further. You skip typing the greeting, but someone still has to read the email, pick the right template, fill in the name, date and job details and hit send. For a trades business where the owner works through many quote requests every evening, that part is the actual work.

The bottleneck is reading and writing. That is where the other two levels come in, in very different ways.

Filters and rules, AI inside your mail app (Gemini, Copilot) or your own AI agent in draft mode: which one actually takes work off your plate?

Gemini in Gmail writes replies with its "Help me write" feature. According to Google, it only runs when you click compose or reply, or open a draft, and then type a prompt. You also need an eligible Google Workspace or Google AI plan; on personal accounts it works only in supported languages and only in the US. Copilot in Outlook follows essentially the same pattern: a person opens the email and asks. What Copilot means for data protection is covered in Is Microsoft Copilot GDPR compliant?.

Your own AI agent flips the order. It does not wait for your click. It reads each email as soon as it arrives and has the draft ready when you open your inbox.

For an estate agency that gets the same questions about viewings and documents every day, the difference shows. With Gemini you open many emails and type a prompt for each one. With an agent you read finished drafts and approve them. Our page for real estate agents shows how that looks in practice.

How does an AI agent work in Gmail and Microsoft 365 without sending a single email you have not approved?

Both systems technically separate drafting from sending. That separation is the foundation for any agent you trust with your inbox.

In Gmail, the Google developer documentation describes a draft as an unsent message with the DRAFT system label. An app creates it with one call, and it is only sent with a second, separate call. In Microsoft 365, the "createReply" call in Microsoft Graph creates a draft reply to a message. The draft can be edited and is sent in a later, separate step.

The Verselo AI assistant is built on exactly that separation. A normal day looks like this:

  1. A request comes in. The assistant reads it and checks the earlier thread and the company facts you have given it.
  2. Within 60 seconds a reply in your tone sits in your inbox as a draft, and if you like, as a card with an approve button on your phone.
  3. You read it, change a sentence if needed and send it. If you answer yourself, the assistant notices and stays out of the way.

In the cockpit you set, per email type, what happens: draft, automatic or silent. An appointment confirmation might go automatic at some point, with a reply delay you choose. Price questions, special requests and commitments always stay drafts. On top of that you get follow up reminders for quotes that have gone unanswered for days, and at 07:30 a short briefing on your phone with everything that needs your decision today.

What do you need to settle on data protection (GDPR) before an AI reads your company email?

Your inbox holds your customers' names, addresses and contract details. Letting an AI access it means a provider processes personal data on your behalf. Settle three points before you start:

A data processing agreement. Article 28 GDPR requires a contract between you as the controller and the provider as the processor. The Spanish data protection authority AEPD makes clear that this has to be in writing, and electronic form counts. Verselo provides the DPA from the start.

Where processing happens. With Verselo every company gets its own isolated server in the EU. Your emails stay in your mailbox, and your data is not used to train AI models. More detail is on our security page.

Who has the final say. An agent that starts in draft mode means a person checks every outgoing email. That is also easier to explain to your team than a system that writes on its own from day one.

How do you set up email automation in 14 days, and when are filters and templates enough?

To be straight with you: if you get only a few customer emails a day, filters for newsletters and invoices plus three good templates will do. An agent pays off when many similar requests arrive every day, when quotes go without follow up, or when you spend the day on site or with clients. That is typical for trades businesses, estate agents and property managers.

With Verselo the path looks like this:

  1. A 30 minute call. We look at which emails cost you the most time and tell you honestly whether an assistant is worth it.
  2. Setup in 1 to 2 days. We connect Gmail, Microsoft 365 or your IMAP mailbox, set up the server and let the assistant learn your style from your sent emails.
  3. Draft phase, weeks 1 and 2. Every reply waits as a draft. You read along and approve.
  4. After about 14 days. You decide per email type what may run automatically. Anything sensitive stays a draft.

Conclusion

Filters sort, Gemini and Copilot write when you ask, and your own AI agent takes over the reading and the first draft while leaving you the last word. For a busy business inbox full of similar requests, the agent in draft mode is the level that actually gives you time back. Whether that holds for your business is something we can work out in a 30 minute call.

Frequently asked questions

Can Gmail filters or Outlook rules reply to emails automatically?

No. A Gmail filter can label, archive, delete, star or forward incoming mail, but it does not write a reply. For that you need an AI that reads the email and prepares a draft.

What is the difference between Gemini in Gmail and your own AI agent?

Gemini in Gmail only writes when you open an email, click reply and type a prompt. Your own AI agent reads every new email by itself, knows how you have answered before and puts the finished draft in your inbox before you open the message.

Can an AI agent send emails from Gmail or Microsoft 365 without my approval?

Not in draft mode. Gmail and Microsoft 365 technically separate creating a draft from sending it. The Verselo AI assistant starts with drafts only. It replies on its own only for the email types you switch to automatic in the cockpit, and prices and commitments always stay drafts.

Do I need a contract if an AI processes my company email?

Yes. When a provider processes personal data on your behalf, Article 28 GDPR requires a data processing agreement in writing, which can be in electronic form. Verselo provides the DPA from the start.
