AI Assistant for Law Firms: Handle Client Inquiries in Your Inbox with Confidentiality Safeguards

How an AI assistant for law firms prepares new client inquiries and status replies as drafts, and what German and Spanish secrecy rules and the GDPR require.

Key takeaways

  • An AI assistant captures new client inquiries, requests documents from your intake checklist and drafts replies to status questions in your firm's voice.
  • Legal advice, assessing the merits of a case and accepting a mandate always stay with the lawyer.
  • In Germany, confidentiality under the BRAO applies to AI too and covers even client names and the fact that a mandate exists.
  • German and Spanish rules both require that anyone helping with your work, including the assistant's operator, is bound to secrecy, and the GDPR adds a processing contract.
  • Going live takes about 14 days, with two weeks of drafts only, and runs alongside your practice management software through your inbox.

An AI assistant for law firms reads every incoming email, captures new client inquiries, asks for the documents on your intake checklist and leaves draft replies to status questions in your inbox. It gives no legal advice and never accepts a mandate on its own. This may be permissible if access is necessary for the service, the providers are carefully selected and bound to confidentiality under the applicable rules; additional requirements may apply depending on the mandate. The Verselo AI assistant runs on a server set up for your firm alone.

Why does a law firm's inbox pile up while you are in court or in a client meeting?

Take a Tuesday at a firm with four lawyers. The hearing starts at nine, a contract review meeting at eleven. In between, eleven emails arrive. Ms Lindner received a dismissal letter yesterday and wants an appointment. Mr Brandt asks for the third time whether the other side has replied. A landlord sends a photo of a lease and wants to know if you take cases like his.

None of these emails is hard. Each one still needs someone to read it, sort it and reply. Your staff does not always know where a file stands, and the lawyers are in court. So the emails wait until the evening.

With the dismissal that matters, because deadlines start running once the letter is received. An inquiry left unanswered for two days costs the client time and may cost the firm the matter, because another firm wrote back first.

Secretary, templates or a dedicated AI assistant: what is the difference for new client inquiries and status questions?

Templates save typing. Someone still has to read the email, work out what it asks and pick the right one. An AI assistant takes over exactly that step and leaves the approval to you.

Which client emails can the assistant prepare, and what always stays with the lawyer?

The line is simple: anything that needs legal judgement stays with you. Anything organisational the assistant can prepare.

What the assistant prepares:

  • Intake of new inquiries, with the practice area and whether your firm takes on that type of matter
  • The list of documents for the first meeting, from your own checklist per practice area
  • Confirmations that documents arrived and appointment slots from your calendar
  • Replies to status questions, as drafts based on the emails in the matter
  • Reminders to clients who have not yet sent what you asked for

What always stays with the lawyer:

  • Any legal assessment and any view on the merits of a case
  • Accepting or declining a mandate and signing the engagement letter
  • Commitments to clients about deadlines or court dates
  • Anything you mark as sensitive during setup

An example: Ms Lindner writes on Monday evening that she received a dismissal letter. The assistant spots employment law and the date she received it. It flags the email as urgent in your morning briefing and prepares a draft with two slots from your calendar and a request for her contract, the dismissal letter and her latest payslip. If she asks in the same email how much severance she will get, the draft contains no assessment and you write that part.

How do professional secrecy rules (German BRAO, Spanish Estatuto General de la Abogacía) and GDPR fit an AI assistant on its own EU server?

The rules answer this fairly precisely. As of November 2026:

Germany. The German Federal Bar's guide on AI use (December 2024) says that confidentiality under § 43a(2) BRAO also applies to AI and covers even client names and the fact that a mandate exists. § 203 StGB makes disclosing a client secret a criminal offence, but subsection 3 says that sharing with people who assist in your professional work, as far as necessary, is not a disclosure. The conditions for such service providers are in § 43e BRAO: access only as far as the service requires, careful selection, a contract in text form that binds the provider to secrecy with a warning about the criminal consequences, limits access to what is necessary and states whether subcontractors may be used. For services abroad, the protection must be comparable to Germany's. Because it is not settled whether US providers meet that bar, the guide advises preferring AI providers with servers in Germany or Europe where possible.

Spain. The Estatuto General de la Abogacía Española (Royal Decree 135/2021) sets out in articles 21 and 22 the duty and right to keep secret everything you learn in your practice. Article 22.4 requires you to make collaborators, staff and anyone else who cooperates in your work respect that secrecy, and article 22.5 says it lasts after the engagement ends. A provider that operates your assistant falls inside that circle.

GDPR. On top of both, Art. 28(3) GDPR requires a contract under which the processor only acts on your documented instructions, including on transfers to third countries, and ensures that authorised persons are committed to confidentiality.

In practice: ask whoever operates the assistant, us included, for a confidentiality agreement that meets these rules and for a data processing agreement. Check the same with the AI provider that drafts the text. The Verselo assistant runs on its own server in the EU, for your firm alone. Your emails stay in your mailbox. To write a reply it sends the necessary text to your own business account with the AI provider, with whom you sign the data processing agreement yourself. Why the dedicated server matters is covered in AI assistant on an EU server vs US cloud.

How does a firm go live in 14 days next to its practice management software, and when is the assistant not worth it?

The assistant works through your inbox (Microsoft 365, Gmail or any standard mailbox) and your calendar, not inside RA-MICRO, Advoware, Kleos or Aranzadi Fusion, and there is no direct integration today.

Going live has four steps:

  1. A 30-minute call. You tell us what your inbox looks like and how the firm works. We tell you honestly whether the assistant is worth it.
  2. Setup. We set up your server, connect mailbox and calendar and teach the assistant your practice areas, document checklists and processes. It picks up your voice from the emails you have sent.
  3. Two weeks of drafts. It only writes drafts. You and your staff review them, correct them and see how it handles your clients.
  4. It replies on its own. Once you are happy, you switch on automatic replies one type of email at a time. Document confirmations go out by themselves, anything legal stays a draft.

Approvals and the 07:30 briefing reach you on Telegram, even between two hearings.

When is it not worth it? If you clear your inbox in half an hour every day, you do not need an assistant. It pays off when new inquiries and status questions cost your lawyers and staff hours every day.

Conclusion

An AI assistant for client emails may be permissible if access is necessary for the service, the operator and the AI provider are carefully selected and bound to secrecy, a data processing agreement under Art. 28 GDPR is in place and the assistant only sees what it needs. Additional requirements may apply depending on the mandate. It takes intake, document lists and status questions off your desk, while the legal work stays with you. Whether it pays off for your firm is something we work out in a 30-minute call.

Frequently asked questions

Can a law firm use an AI assistant for client emails and keep client confidentiality?

It may be permissible if access is necessary for the service and the operator of the assistant and the AI provider are carefully selected, bound to secrecy and only see what the service needs. Additional requirements may apply depending on the mandate. In Germany § 43e BRAO sets the contract terms, in Spain the Estatuto General de la Abogacía requires everyone who helps with your work to respect professional secrecy. The GDPR adds a data processing agreement under Art. 28.

Does the assistant give legal advice or accept new clients?

No. It identifies the practice area, asks for documents and answers procedural questions. Any legal assessment, any deadline you communicate to a client and any decision to take on a matter stays a draft for you.

Does it work alongside RA-MICRO, Advoware, Kleos or Aranzadi Fusion?

Yes. The assistant works through your email inbox and calendar, not inside your practice management software and not in court e-filing systems. There is no direct software integration today. You keep managing your case files as usual.

Will it send emails without my approval?

Not at first. For two weeks it only writes drafts. After that you switch on automatic replies one type of email at a time, for example confirming that documents arrived. Anything legal stays a draft.

When is an AI assistant not worth it for a law firm?

If you only get a handful of inquiries a month from a fixed base of corporate clients and clear your inbox quickly every day. It pays off when new inquiries and status questions cost your lawyers and staff hours every day.
